From a freight order to its final document

Freight operations / 2006–2007 · development and deployment

Logos linked cargo, vehicles, route stages and settlement to a single freight order. Dispatchers could see which tasks were due at each stage and which documents had arrived.

01

Challenge

A freight order often arrives before a particular vehicle has been assigned. The dispatcher still needs to record the transport requirements and agree a route. Each stage then acquires its own deadlines, staff and paperwork. I.V.A. set out to connect the original terms of the order with what actually happened in transit.

02

Solution

In the draft order, the manager specified the required vehicle group. A particular vehicle was assigned when the order went into operation. A template supplied the actions and documents required at each route stage. These entries formed a schedule for the order and a task list for each person responsible.

03

When an order was complete

A marker could make one document a prerequisite for another. The system allowed the second document to be entered once the first had been recorded. Recording the final document required for the route stages changed the order status to completed.

04

Costs, claims and settlement

Staff recorded additional costs and claims against the relevant order as they arose. Damage reported by a consignee, for example, could be recorded during the shipment. A financial calendar grouped planned transactions by date, while invoices and payments could be traced to the individual order.

05

One shipment across several workstations

Client applications in the offices and at remote workstations connected to the Logos server to use a shared database. An administrator assigned access rights. Dispatchers and accounts staff could therefore work on the same shipment within their respective permissions.

06

Outcome

I.V.A. developed Logos and deployed it at the customer in 2007. The team provided support for a period after deployment.
